How to set up an Instagram business profile properly
A complete Instagram business profile tells customers who you are, where you are and how to reach you, even before they look at a single post. Here's how to set it up properly, step by step.

For many Indian businesses, Instagram is where new customers first look: a café, a boutique, a bakery, a salon, a sweet shop before Diwali. Many of these profiles were set up in a hurry years ago. They work, but they're missing the details that turn a curious visitor into a customer.
This post walks through setting up an Instagram business profile properly. If you're not sure Instagram is right for your business, start with which social media platforms does your business actually need?
Personal, creator or business?
Instagram has personal accounts and professional accounts. Professional accounts come in two types: creator and business. For a shop, restaurant, clinic or service, choose a business account. It gives you:
- A category under your name, such as Bakery or Dental clinic
- Contact buttons: call, email, directions
- Your address and other business details on the profile
- Insights: simple numbers about who sees your posts
If your shop already has a personal account with followers, you can switch it to a business account in the settings without losing anything.
Step 1: Choose your username and name
- Username (the @ handle): use your business name, as close to it as possible. Avoid strings of numbers and underscores that people can't remember.
- Name (shown in bold): your business name as it appears on your sign and your Google listing. Adding one useful word is fine, such as “Sharma Sweets · Faridabad”.
Step 2: Your profile picture
Use your logo, not a photo of the shop or yourself. It appears very small, in a circle, so use the compact version of your logo with enough space around it. A random photo makes your profile harder to recognise in a list of search results. See one look everywhere.
Step 3: Write a clear bio
Your bio is a few short lines. Make every word count. A good business bio answers:
- What you are: “Traditional sweets and namkeen since 1985”
- Where you are: “Sector 15, Faridabad”
- When you're open: “Open daily, 9 am to 10 pm”
- What to do next: “Order on WhatsApp” or “Book a table below”
Keep it plain and specific. Skip vague lines like “Best quality, best service”, which every business claims.
Step 4: Add your links
Instagram lets you add links to your profile. Use them for what customers need most:
- Your website
- A WhatsApp chat link, so people can message you in one tap
- Your Google Maps listing, or your Zomato or Swiggy page if you're a food business
Step 5: Contact buttons and details
In the profile settings, add your phone number, email and address. These appear as buttons under your bio. Use exactly the same phone number and address as on Google and your website. Matching details everywhere is called NAP consistency.
If you use WhatsApp Business, connect it so customers can message you directly from Instagram.
Step 6: Highlights
Highlights are saved Stories that stay at the top of your profile. They're a simple way to answer common questions. Good highlights for a local business:
- Menu or Products
- Location, with a photo of your shopfront and nearby landmark
- Reviews from happy customers
- Festive orders or seasonal specials
Give them simple covers in your brand colours, so they look tidy.
Step 7: Your first posts
Before you invite customers to follow, make sure there are a few good posts: your shop, your best products, your team. Use real photos, not stock images. See why real photos beat stock photos.
Who should hold the login
Instagram accounts for small businesses are often created by a nephew, an employee or an agency, on their own email and phone. When that person moves on, the business can lose access. Make sure the account uses a business email and phone number you control, keep the password somewhere safe, and turn on two-factor authentication. If others help with posting, give them access without handing over the main login.

- A few highlights and real photos
